Claims intake software in 2026

Claims intake software takes in a claim at the first notice of loss (FNOL), collects the details and documents, and gets the file to a claims adjuster. Most insurers, MGAs, and third-party administrators (TPAs) run more than one kind: a claims system that holds the file, and tools in front of it that take the report, read the documents, score the claim, or get the file complete.

Klarefi publishes this page. The description of each platform comes from that vendor's own website, checked on 4 October 2026.

The kinds of claims intake software

  • Intake completenessKlarefi

Checks each claim against what your team needs to handle it, asks the claimant for whatever is missing while they are still reporting, and gives the adjuster a file with a source for every fact.

    • Klarefi. An AI intake agent that checks each file against your requirements, asks for whatever is missing, and cites a source for every fact.
  • Claims management systems

The system of record. It holds the claim file, assigns it to an adjuster, and tracks reserves and payments through to settlement.

    • Guidewire ClaimCenter. A claims management system for property and casualty insurers.
    • Duck Creek Claims. Claims management software for property and casualty carriers.
    • Snapsheet. A claims system built to replace separate claims tools with one platform.
    • Five Sigma. An AI claims management platform for insurers, MGAs, and TPAs, with an AI agent called Clive.
  • FNOL by voice and messaging

Takes the first report by phone, text, or chat, and keeps the claimant informed while the claim is open.

    • Liberate. AI that handles insurance conversations by voice, SMS, and email, including claims.
    • Hi Marley. A messaging platform for property and casualty insurers, their policyholders, and service providers.
  • Claims automation and document processing

Reads the documents on a claim, extracts the data, and automates routine handling steps.

    • Sprout.ai. An AI layer that automates routine claims processing and supports claims handlers on the rest.
    • omni:us. AI that automates claims handling for insurers.
    • Assured. AI for the claims lifecycle, from intake to resolution.
    • Indico Data. Automates the ingestion of underwriting, claims, and servicing documents.
  • Fraud detection and claim scoring

Scores each claim for fraud risk, severity, or complexity, so it can be routed to the right adjuster or queue.

    • Shift Technology. AI for claims handling and fraud detection at insurers.
    • FRISS. Scores quotes, renewals, and claims in real time for property and casualty insurers.
    • CLARA Analytics. A claims intelligence platform for casualty claims.
  • Damage assessment

Estimates the damage and the repair cost on a claim.

    • Tractable. AI damage assessment for vehicle claims.

Claims triage needs a complete file

Claims triage sorts each claim by type, size, and urgency and assigns it to the right adjuster. Scoring tools and assignment rules work on the facts in the file. When the date of loss, the repair quote, or the policy number is missing, the claim waits in a queue or lands on the wrong desk.

Klarefi works before that step, in front of your claims system. It takes in each claim, checks it against what your team needs for that claim type, and asks the claimant for whatever is missing while they are still reporting. It does not score, rank, or settle the claim. Your adjuster starts from a complete file and makes the decision.

An MGA that handles claims under delegated authority, or a TPA, answers to an insurer for every file. Each Klarefi case keeps an audit trail of what was asked, what was received, and where each fact came from.

What to look for in claims intake software

It asks the claimant for what is missing

A gap found after the report costs a round of email or a phone call. Look for software that asks for the missing date, photo, or repair quote while the claimant is still reporting.

Every fact cites its source

An adjuster should see the document and page behind each value, so a repair cost or a date of loss can be checked in one click.

You set the requirements

A motor claim and a liability claim need different facts. You choose what each claim type needs and the checks it must pass.

It hands off to your claims system

The finished file reaches your claims management system through an API or a webhook, with the sources attached.

Data stays where it must

EU data residency by default, and the option to run it in your own cloud when your insurer or regulator asks for it.

The adjuster decides

The software prepares the file and shows what is still open. The decision on the claim stays with your team.

Questions buyers ask

What is claims intake software?
Claims intake software takes in a claim at the first notice of loss (FNOL), collects the details and documents, and passes the file to a claims handler or adjuster. Some products only capture the report. Others also read the documents, check the file for gaps, or score and route the claim.
What is the difference between FNOL automation and claims triage?
FNOL automation captures the first report of a loss: who, what, when, where, and the documents. Claims triage comes next. It sorts each claim by type, size, and urgency and assigns it to the right adjuster or queue. Triage depends on the facts captured at FNOL, so a claim with gaps is hard to sort.
What software checks that a claim file is complete before it reaches an adjuster?
Klarefi does. It checks each claim against the facts and documents your team needs for that claim type, asks the claimant for anything missing while they are still reporting, and gives the adjuster a file with a source for every fact. Many claims management systems validate required fields before a claim moves on. That shows a field is empty. It does not ask the claimant for the missing document.
Is there an AI agent that asks claimants for missing documents?
Yes. Klarefi is an AI intake agent that reads what the claimant sends, works out what is missing or unclear, and asks for it in a chat during the claim report. The claimant uploads the document, Klarefi reads it, and the answer goes into the file with its source.
Does claims intake software replace the claims adjuster?
No. Intake software prepares the file. With Klarefi, the adjuster reviews the facts, the checks, and anything still open, and decides on the claim. Klarefi does not score, rank, or settle claims.
Can an MGA or a TPA use claims intake software?
Yes. An MGA that handles claims under delegated authority and a third-party administrator run the same intake step as an insurer: take the report, collect the documents, and get the file to an adjuster. Klarefi runs on your own domain, and each case keeps an audit trail of what was asked and where each fact came from.
